Discussion Room Guidelines
Rules and Regulations for Booking Group Discussion Rooms
The Learning Resource Centre offers designated group discussion or presentation spaces. The library has implemented a new policy to ensure the proper use of these rooms. To book a discussion room, please visit our website at IIMBG LRC and log in using your IIMBG email address as your username and password. Discussion rooms and event rooms are available for group use only. They can be reserved by IIMBG students, faculty, and fellow students.
- Users must deposit their ID cards at the help desk to collect discussion room keys. The key collection is based on a confirmation booking mail and requires at least four users to be present.
- Bookings can be made up to two days in advance. However, bookings can be made for one or two one-hour slots per day, and the booking start and end times must be strictly followed.
- Users are responsible for the room's equipment, furniture, and fittings. They should use them with care and not modify the room partitions without permission from library staff.
- The library will cancel bookings if the group fails to show up within 10 minutes of the booking time. The booking will be given to the next group in need.
- Please ensure that any discussions or activities in the room do not cause disruptions to other users.
- Please make sure to leave the room clean when checking out.
- The library can inspect rooms anytime, suspend facility use, or impose fines for misuse.
- Please be mindful of the following guidelines when using the interactive displays in the discussion rooms:
- Do not use markers, pens, pencils, crayons, or other writing tools on the boards, as they may damage them. Please use the smartboard pen, which can be obtained from the circulation counter along with room keys.
- The display screens are connected to the Institute's network and can be accessed through Wi-Fi.
- Please ask the library staff if you need assistance connecting your devices for screen-sharing.
- The person booking the discussion room is responsible for maintaining the room's furniture, accessories, and equipment. The charges for damaged equipment/furniture may be equivalent to the cost of replacing it. For assistance, please contact library staff at the Circulation Desk.
- The library reserves the right to modify or change these terms and conditions without prior notice.
